Purpose of the Job:

Attend to visitors and deal with inquiries on the phone and face to face. Supply needed information regarding the organization to the general public, clients and customers.

 

Tasks and Responsibilities:

Answer telephone, screen and direct calls

1.     

Take and relay messages

2.     

Provide information to callers

3.     

Ensure knowledge of staff movements in and out of offices

4.     

Monitor visitors access and maintain security awareness

5.     

Provide general administrative and clerical support

6.     

Prepare correspondence and documents

7.     

Organize conference and the internal and external events

8.     

Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

9.     

Handling the petty cash

10.

Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

Performs administrative duties for executive management

12.

Supervising the support staff (Housekeeping and drivers)

13.

 
 

 

Qualifications:

 

  1. Bachelor degree in Business Administration or related field 
  2. A minimum of 3 year experience in Adminstrative role.
